What you get

Built around how UK fleets actually work

01

Configurable damage diagrams

Pick the right diagram — car, van, HGV, minibus, classic — and mark damage zones with a tap. Each zone can carry its own notes and photos.

02

Photo evidence built in

Every photo is watermarked with date, time, vehicle reg and inspecting user. The audit chain is automatic and tamper-evident.

03

Digital signature on the same record

The customer or driver signs with a finger or stylus on your device. No paper, no separate signature workflow.

04

Vehicle data bundled in

Each report includes the live DVLA record, MOT history, valuation and vehicle history checks (stolen / finance / write-off) at no extra cost. No separate subscription.

05

Configurable templates

Build different report types for inbound, outbound, mid-term, pre-purchase or post-wash use cases — set which damage zones, which checklist items, and who signs off.

06

Branded PDF export

Email the customer a polished, company-branded PDF directly from the platform. Looks like a £150 report, costs £1.

In the wild

A van rental yard cuts dispute handling from 20 minutes to 3

Before vehReports, returning customers and rental agents argued over a paper form and a few phone snaps. The yard manager dug through filing cabinets to settle dents. With vehReports, every inbound and outbound has matching photos and a signed report — a returning customer who disputes a scuff sees the inbound photo on screen before they finish the sentence. Disputes don't go to insurance, they go away.

FAQ

Frequently asked questions

What types of vehicle reports does vehReports support? +

Inbound, outbound, mid-term, pickup, dropoff, pre-purchase, post-wash and general inspections. You can also build custom report types for one-off use cases — e.g. annual safety audits or insurance write-off assessments.

Can the customer or driver sign on the same device? +

Yes. Hand the phone or tablet to the customer at the end of the inspection and they sign with a finger or stylus. The signature is captured at full resolution and tied to the report record.

Do photos get watermarked and timestamped? +

Every photo is automatically watermarked with the date, time, vehicle registration and inspecting user. This is the evidence chain you need when contesting a damage dispute.

Can I export reports as PDFs? +

Yes. Every report can be exported as a branded PDF with your company logo, contact details and standard disclaimer. PDFs can be emailed to the customer directly from the platform.

How long are reports stored? +

Reports are stored for the life of your account. Free Basic accounts retain reports as long as the account is active. Paid accounts also get audit log retention via Spatie ActivityLog, so you can see who changed what and when.
